Cooperatives and associations exist to serve their members. But a lot of member services still depend on office visits, paper forms and announcements on a bulletin board or a Facebook page that not everyone follows. Members who work during office hours or live far away often miss out.
A good website and member portal changes that. Members can read announcements, apply for loans or services, check their records and pay dues from their phones, while your staff spend less time on repeat questions and paperwork.
I'm Aldrian, an independent web developer in the Philippines. I build websites and secure portals for cooperatives, homeowners associations, professional associations, foundations, alumni groups and other member organizations.
What your public website should include
Who you are
Your history, mission, officers and board, and the communities you serve. Members and the public both want to know who runs the organization.
Services and products
For cooperatives: savings, loans, insurance, consumer stores and other services, each explained in plain language with requirements and steps.
For associations: membership benefits, events, programs and community rules.
How to join
Membership requirements, fees, steps and a pre-membership seminar schedule if you hold one. An online membership application makes it easier.
Announcements and events
General assemblies, elections, holidays, seminars and community events in one reliable place, with optional email or SMS alerts.
Transparency
Many members appreciate access to annual reports, financial highlights and important documents. I can set up a documents section that's public or members-only, depending on what you want to share.
Member portal features
A secure member portal can let members:
- View their records, like share capital, savings and loan balances, imported from your existing system
- Download statements and certificates
- Apply for loans or services online, with document uploads
- Track applications and see their status
- Update contact details
- Pay dues or fees online through GCash, Maya or bank transfer, depending on the payment provider you choose
- Join events and register for seminars
Members log in securely and see only their own information. More on my membership website page.
Admin tools for your staff
Behind the portal, your staff get tools to:
- Review and approve applications
- Post announcements and events
- Upload member records or import them from spreadsheets or your existing system
- Send messages to all members or specific groups
- Export reports
More on admin dashboards.
For homeowners associations
HOA portals can include:
- Announcements and community rules
- Monthly dues statements and online payment
- Gate pass or visitor registration requests
- Amenity reservations for the clubhouse, pool or court
- Maintenance and complaint reports with status tracking
- Documents like bylaws and meeting minutes
Security and privacy
Member organizations handle personal and financial information. Under the Data Privacy Act, it needs to be protected properly. I build portals with:
- HTTPS everywhere
- Secure logins, with password resets that work
- Role-based access for officers and staff
- Activity logs for sensitive actions
- Regular backups
My Ghostly project, an encrypted chat app where the server never sees what people say, shows how seriously I take privacy in the systems I build. I handle the technical safeguards, and your data protection officer should review policies and consent wording.
Working with your existing system
Many cooperatives already use accounting or loan management software. Rather than replace it, the portal can often show data from it, through an API, a regular export or a secure import. I'll look at what your system supports before planning anything.
Accessible for every member
Your members include seniors and people who aren't comfortable with technology. I build with large text, simple language, big buttons and forms that work on older phones. Short guides and clear instructions help members get started.
Common mistakes on member websites
Announcements only on Facebook. Not all members follow your page, and posts disappear quickly. A website and optional alerts reach everyone.
PDF forms only. Members still have to print, fill out and submit them in person. Online forms save trips.
No way to check records. Members call or visit just to ask about their balance. A portal answers that instantly.
Complicated logins. If members can't remember how to log in, they won't. I keep sign-in simple and secure.
Start simple, grow later
You don't need everything at once. Many organizations start with a public website and announcements, then add online applications, then member records and payments. I'll help you plan a first version that solves the biggest problem.
Helping members get started
A portal only helps if members actually use it. I plan for adoption from the start: a simple first-login process, short step-by-step guides with screenshots, a help page answering common questions and an easy way for staff to reset access. For the first few weeks, it also helps to announce the portal at assemblies and in your existing channels, so members know it's official and safe to use.
How we'd work
- We talk about your members, services and current process.
- We plan a first version and what can come later.
- You get a quote with timeline and fixed price.
- I build in steps and share preview links.
- We test with staff and a small group of members.
- We launch, and I train your staff and prepare simple member guides.
Let's serve your members better
Tell me about your cooperative or association. I'll reply with a plan and a fixed quote.
