Outreach by email can work well for B2B businesses: agencies reaching companies that fit their services, suppliers contacting buyers, consultants following up with event contacts. Done badly, it burns your domain's reputation, lands everything in spam and annoys the people you hope will become customers.
The difference is mostly in the setup, and in the restraint.
I'm Aldrian, an independent developer. I set up outreach and email automation systems for businesses, with deliverability, compliance and respect for recipients built in.
What I will and won't do
I'll be clear about this upfront, because it matters.
I will set up the technical foundation for relevant, personal, low-volume B2B outreach and follow-ups: domain authentication, sending infrastructure, sequences, personalization, opt-outs, reply detection and CRM integration.
I won't build systems for mass blasting purchased lists, hiding who's sending, faking reply threads, scraping personal data you have no right to use or getting around spam filters with tricks. Those tactics hurt everyone, break laws in many countries and ruin your domain.
Email rules differ by country. The US has CAN-SPAM, the EU and UK have GDPR and related rules, and the Philippines has the Data Privacy Act. You're responsible for your outreach being legal where your recipients are, and I'll recommend you confirm requirements with your own advisor. My job is to make sure the technical side supports doing it right.
Deliverability first
A separate sending domain
Outreach should usually be sent from a separate domain or subdomain, so your main business domain stays protected if anything goes wrong.
Authentication
SPF, DKIM and DMARC set up correctly, so receiving servers can verify your emails are really from you.
Gradual warm-up
New domains and mailboxes start with low volumes and increase slowly. Sending hundreds of emails from a brand-new domain on day one is a fast way to the spam folder.
Sensible daily limits
Small, steady volumes per mailbox, spread across the day.
List quality
Verified addresses only, with bounces removed automatically. High bounce rates damage reputation quickly.
Monitoring
Watching bounce rates, spam complaints and inbox placement, and slowing down if something looks wrong.
Sequences that read like real emails
- Real personalization based on research you've done, not just a first name merged into a template
- Short, plain emails that sound like a person wrote them
- A small number of polite follow-ups, spaced out, that stop the moment someone replies
- A clear way to opt out in every message, honored immediately and permanently
- Your real name, company and contact details in every email
Automation that saves time
- Sequences that pause automatically when a prospect replies
- Replies sorted into interested, not now, wrong person and unsubscribe
- Interested replies pushed into your CRM with the full thread. See custom CRM.
- Opt-outs added to a suppression list across all campaigns
- Meeting links that book straight into your calendar
- Simple reports on replies, meetings booked and opt-outs
Tools and custom builds
There are good outreach platforms available. Often the best setup is one of them, configured properly and connected to your CRM. I'll help you choose and set it up.
For businesses with specific needs, I can build custom automation on top of transactional email services and your own database, with full control over data and logic. More on API integration.
Beyond outreach: follow-up automation
Some of the most valuable email automation isn't cold at all:
- Following up with people who downloaded a guide or attended an event
- Nudging leads who requested a quote but didn't respond
- Re-engaging past customers with relevant offers, if they agreed to hear from you
- Reminding prospects about a proposal before it expires
These go to people who already know you, so they perform far better. More on automated notifications.
Privacy and data handling
Prospect data is personal data. I set up systems that store only what's needed, keep it secure, honor deletion requests and keep opt-outs permanent. Privacy is a theme in my own work too, from my Ghostly encrypted chat app to the systems I build for clients.
Common mistakes
Sending from your main domain. One bad campaign can hurt your everyday business email.
Skipping warm-up. New domains need time to build reputation.
Buying lists. Low quality, high bounces and often illegal to use.
Too many follow-ups. Three thoughtful touches beat eight annoying ones.
No opt-out. Unethical, often illegal and a fast route to spam complaints.
Tracking pixels everywhere. Heavy tracking can hurt deliverability. Plain emails often do better.
What it usually costs
Setting up domains, authentication, a sending platform and CRM integration is a modest project. Custom automation systems take more work. You'll get a fixed quote after we talk about your goals and volumes.
How we'd work
- We talk about your audience, offer and current process.
- I recommend tools or a custom setup.
- You get a quote with timeline and fixed price.
- I set up domains, authentication, warm-up and sequences.
- We test deliverability and integrations.
- We launch slowly and monitor closely.
